Planning and targets
Results drifted a lot after year one. Can we revise the plan?
Yes. An admin or the CEO can change a KPI's multi-year target, time frame (1 to 10 years) and direction at any time, and the targets of open years are recalculated automatically. Closed years are never touched. In Yearly Planning each country's growth rate and last-year baseline can also be adjusted, and every change is logged.
Can each country get a different target rate?
Yes. Every country has its own adjustable growth rate in Yearly Planning, and that country's sites follow it proportionally. Regions and the global total roll up on their own.
What happens at year end?
The CEO closes the year with a double confirmation. The year is archived and sealed, its actuals become next year's baseline, and locks and approvals reset. A close cannot be undone. Country adjustments restart from the company base rate for the new year.
Can we track KPIs where lower is better, such as CO2 or cost?
Yes. Every KPI is set as growth (revenue, units) or reduction (CO2, cost, defects). For reduction KPIs, attainment is target divided by actual, capped at 200%, and the yearly reduction rate is compounded so the multi-year goal adds up. Sites are scored one by one so a single site cannot distort a country.
Which KPIs can we track?
Any KPI you define: name, objective, unit (USD, tCO2e, NPS, %), multi-year target and weight in the composite score. There is no limit on the number of KPIs.
Do quarterly targets follow our seasonality?
Yes. Each quarter's target builds on the same quarter of last year, so your seasonal pattern carries over without a separate setting.
Can we use more than one currency?
Each KPI has one unit, so different KPIs can use different currencies. There is no currency conversion: all sites report a KPI in the same unit.
Tracking and approval
How often is data entered?
Every quarter, per site. Half-year and full-year totals are calculated automatically. Monthly entry is not available.
How do approvals and locks work?
Sites enter their quarterly actuals, the approval owner of each country reviews them, and an admin or the CEO approves, which locks the half-year for every site in that country. Only an admin or the CEO can unlock, and the country then returns to pending. Every step is written to an audit trail that cannot be edited.
A site cannot report a KPI. Does that hurt its score?
No. You can exclude the site from that KPI with a written reason, which is required. The exclusion is logged with who and when, the site is left out of scores and next year's baseline, and it can be included again at any time.
How are the performance tiers defined?
There are five fixed tiers: Exceptional at 125% and above, Excellent from 110%, Achieved from 100%, Keep Pushing from 90% and Action Needed below 90%. Everyone in the company reads the same scale.
What does the Hoshin Kanri X-Matrix show?
Countries grouped by region against all KPIs. Each cell shows full-year performance, its tier and the trend from the first half to the second. Every country also gets a weighted composite score, with regional and global totals.
Does it forecast where we will land?
It shows whether you are ahead or behind if this year's pace continues, how fast you are moving and the time left to reach the target. It is a momentum indicator, not a financial forecast.
Users and access
Who sees what?
There are six tiers. The CEO and C-suite see the whole company, an EVP sees a region, and VPs, directors and managers see their own country. Settings, the Strategic Tracker and the Executive Report are for the admin and the CEO.
Can we track plants and sites below country level?
Yes. Sites are unlimited, each with an address and map location, and data entry, exclusions and locks all work per site. All 251 countries and territories are available.
Can we import from Excel?
Employees, sites, departments and job titles can be imported from Excel or CSV (up to 2,000 rows). Targets and actuals are entered in the product. The KPI scorecard and year history export to CSV, and the Executive Report prints or saves as PDF.
Does it connect to our ERP or BI tools?
Not today: there is no ERP, BI or API connection. Sign-in works with Google, Microsoft or Apple.
Plans, trial and data
How does the trial work?
Each new company gets one 30-day trial for up to 10 users. No card is needed and nothing is charged. After the trial your data is kept until you subscribe.
What happens when we reach our seat limit?
Active users and pending invites count as seats. At the limit, new invites wait until you free a seat or move to a larger plan. You can change plans at any time in the store, and the difference is prorated.
Which devices and languages?
Web, Android and Windows today, with iPhone coming soon. The interface is in English and Turkish. Saving needs an internet connection.
Where is our data stored?
In the EU, kept separate for every company, with a daily backup. If the last member deletes their account, the company's data is deleted with it.
